If your company uses Microsoft 365 mainly for email, Word, Excel, and the occasional Teams call, you are paying for a lot you are not using. Microsoft 365 is one of the largest line items in many IT budgets, and most organizations tap a small slice of its capabilities, leaving security, automation, and collaboration features fully licensed and completely idle.
The gap is rarely a licensing problem. It is an adoption and configuration problem. The capabilities are there, switched off or misconfigured, because nobody had the time to turn them on properly. This post covers the features companies most often leave on the table and a simple way to find your biggest gaps, because getting more out of what you already own is often the highest-return move in the digital workplace.
The most underused capabilities
Across companies, the same high-value features tend to go unused:
- Built-in security and compliance. Many plans include data loss prevention, advanced threat protection, retention, and information governance that companies pay separate vendors to replicate.
- Power Platform automation. Power Automate and Power Apps can take over manual, repetitive work, yet sit untouched in most tenants.
- SharePoint and OneDrive done right. Configured properly, they replace aging file servers and scattered storage, but most deployments barely scratch the surface.
- Teams as a platform. Beyond chat and meetings, Teams integrates apps, automates workflows, and becomes a real collaboration hub.
- Analytics and insights. Built-in usage and adoption data shows exactly where the platform is and is not being used, which is the starting point for improvement.
Why the gap exists
The reasons companies underuse Microsoft 365 are consistent and very human. The platform is deep and changes constantly, so keeping up is a job in itself. Default configurations are conservative, leaving valuable features off until someone deliberately turns them on. And rolling out a new capability without training just produces an unused capability. None of these is a failure of the platform, and all of them are fixable.
A quick self-assessment
You can gauge your own gap with a handful of honest questions:
- Are you paying separately for security tools your Microsoft 365 plan may already include?
- Do employees still email files back and forth instead of co-authoring and sharing properly?
- Are there manual, repetitive processes that automation could take over?
- Do you still run on-premises file servers that SharePoint and OneDrive could replace?
- Have you ever reviewed your tenant’s usage analytics to see what is actually being adopted?
A yes to any of these points to value you have already bought but are not yet collecting.
The most overlooked value: security you already own
Of all the underused capabilities in Microsoft 365, the security and compliance features are the ones most worth a second look, because companies routinely pay outside vendors for protection their existing licenses already include.
Depending on your plan, that can mean data loss prevention, advanced email and threat protection, conditional access, retention and information governance, and detailed audit logging. Enabled and configured well, those features can replace or reduce the need for separate third-party tools. The catch is that they ship conservatively and do nothing until someone turns them on and tunes them to your environment. The result is the worst of both worlds: paying for protection in your Microsoft 365 license and again for a third-party equivalent, while neither is fully optimized.
A simple audit of what your plan includes against what you currently pay others for often surfaces immediate savings, and a more coherent security posture managed in one place rather than scattered across overlapping products.
How Microsoft 365 managed services unlock the value
Closing the gap is partly configuration and partly ongoing adoption, which is exactly what Microsoft 365 managed services and Microsoft 365 consulting services are built to deliver. Instead of leaving your team to keep up with a constantly changing platform, a managed approach handles secure configuration, switches on and tunes the capabilities you are already paying for, drives adoption through training, and keeps the environment current as Microsoft ships new features.
Pellera’s digital workplace solutions take exactly that approach. We assess how your company actually uses Microsoft 365 today, find the highest-value gaps, and turn on the capabilities you already own, securely and with the adoption support that makes them stick. Before you buy another tool, it is worth making sure you are using the platform already sitting in your budget.
